SWANA Officer’s Call Notes (13 June 2007, 12:00 – 1:00 pm)

Opening Remarks/Comments
- February conference call presentation is available from David if anyone wants a copy.
- There were 20 out of 41 chapters answering to first roll call.
- Any chapter issues notify David or national by using Chapter@SWANA.org
SWANA Membership Status and Updates
- As of 31 May 2007, we have 7,748 members which is 220 more than last year
- Trends noted:
- Members are paying earlier perhaps in response to the email reminders
- Decreased postage costs as using more email
- New members are joining via downloading application and faxing in OR renewing online
- Losing members mostly to retirement, some retirees still are members but not active
- Marketing:
- Trying to use more email and electronic. Some folks on the call cautioned national that we have information overload via electronics and the old fashion postal option shouldn’t be abandoned. There are about 1,100 members who do not have emails.
- Using postcards to target specific audience or niche markets
- Website directions from mailings when clicked/used go to “landing” pages for potential new members
- National hosting contests for new members who join
- National SWANA staff able to do website maintenance and update – no longer have a third party maintaining.
- National is hoping that Chapter Events will get information to potential new members as well as helping old members get online to keep membership information updated
- National asked for ideas on how to get out to the industry either electronically (Preferred) or other means
- Chapters asked to encourage members to use the MySWANA to keep their membership information up to date and useful.
- 2008 Planned events are now on the Chapter Extranet at SWANA.org
- FY 2007 ROAD-E-O information is now on the SWANA.org website. It will be at the Cap May County Municipal Landfill on September 29. As soon as chapters have lists of attendees need to get to national ASAP to be incorporated into the full event roster. Host chapters are New Jersey, Pennsylvania and Mid-Atlantic
- Annual reports can be filed electronically provided the attachments do not make too bulky a file. Recommendation made to convert the report to .pdf format in order to transmit electronically or else continue to use postal. Apparently there are a few chapters that still have not filed their annual reports.
WASTECON
- Fiscal year for national ends 31 August so for chapter awards memberships need to be in by that deadline. To date Florida and Southern California lead the pack with percent increase/growth, 22% and 43?% respectfully (I may have misheard So. California).
- Welcome orientation members are being recruited (this was big hint to those on the phone call to volunteer or get volunteers from chapters who are attending WasteCon). The orientation will be Monday afternoon around 5:30 pm. Anyone interested should contact David.
- Chapters asked to advertise WasteCon at their Chapter events
- National has some free Show Passes for chapters to give out at chapter events. Notify David if want any of the passes
- Website will be kept up to date with any last minute information or changes. Website is www.WASTECON.org. Brochure and registration information are already on the site.
- Road-E-O Committee will be formed this year for the 2008 international Road-E-O which is currently planned for Kentucky. There is a call out to all SWANA members who would like to help plan this event. Perhaps Adam Lovato would be interested in helping Kentucky chapter plan the event?
- There is a need to update the Road-E-O manual. Recommendation made that the Road-E-O committee review and update. The manual is available at SWANA.org under the Road-E-O link. (Note: it is a 99 page .pdf file)
Chapter Assistance, Recruitment and Offerings
- National has a 3 person office to recruit and work with membership issues for the entire organization. They are asking for help by Chapters to market for new members and keep existing members
- Survey will be sent to Chapters to complete – it will be asking for names & contacts for major companies, municipalities and counties in our chapter.
- Chapter email/fax blast had mixed reviews from folks on the call
- Make sure Chapter website on National site is updated. Current price is $750. I asked what the memory capability was and David will get back to me. Our weblink still works but other chapters are having problems. Leonard is listed as the chapter contact.
- National is developing power point presentations for use by chapters in recruiting members and talking about SWANA
- If anyone is having problems with logging on to Extranet, contact David.
- New Fiscal Year on 1 September will also bring increased prices such as additional $2 for member dues. Increased prices for website hosting and event registrations.
Next Meeting
- Probably in September, before WasteCon and at beginning of new fiscal year.
